A missing tax number on a Booking.com invoice: what to do and whether it is an accounting problem

The same subject keeps coming back in Facebook groups for apartment owners: "I got a commission invoice from Booking.com and suddenly my tax number is not on it." The company details, name and address, are correct, but the NIP number has vanished, even though nobody changed anything on the account. The helpline shrugs, and messages in the extranet are bounced back by a bot. If you have this problem, you are not alone, and more importantly, it can be sorted. Below, in order: why it happens, whether it is a real accounting problem, and exactly what to do.

Why the tax number on a Booking.com invoice matters at all

Your commission invoice is issued by Booking.com B.V., based in the Netherlands. For a Polish business that is a so-called import of services: you are buying a service from a company in another EU country, and you settle the VAT at home under reverse charge. In practice you calculate and report the VAT in your own JPK_V7 file, and where you have a full right to deduct, the same VAT on both sides cancels out.

For the whole mechanism to work properly, the invoice should carry both numbers: your NIP (with the PL prefix) and the seller's EU VAT number. Your NIP is evidence that the transaction is business to business and that you are the party obliged to settle the VAT. When it is missing, the invoice has a formal defect, and although that is rarely a catastrophe, it is worth fixing before the tax office does it for you during an inspection.

Can an invoice with no tax number be booked at all?

Here is the good news that will settle most of the panic on the forums. For treating the expense as a deductible cost (in the tax book, or as evidence of a payment under the lump-sum scheme), a missing NIP does not by itself disqualify the document. What counts is that the expense is real, documented and connected with your business, and you can easily show that with the booking history and the bank transfer. The NIP is not a necessary condition here.

VAT is trickier. With an import of services the obligation to settle the tax falls on you as the buyer anyway. You calculate the VAT yourself, so you will report it whether or not your NIP appears on the seller's document. That does not mean you can wave the matter away: an invoice with complete details is your shield during an inspection and keeps your records in order. So treat the missing NIP as a defect to be fixed, not as a reason for sleepless nights.

In short: an invoice without a tax number can usually be booked, but aim to have it corrected. Always confirm the treatment of a specific document with your accountant, who knows your form of taxation.

Step 1: check the company details in the extranet

Before you take on the helpline, make sure the problem lies with Booking.com rather than with your account. Log in to the extranet and go to Finance → Invoices and to the property's company details (invoicing details / tax details). Check whether your NIP is still entered in the right field and with the PL prefix.

It happens that after a Booking system update the number drops out of the field or moves to a section the platform does not print on the invoice. If you see an empty field, fill it in, save, and ask for the document to be regenerated. Sometimes that is enough for the next invoice to come out correctly.

Step 2: demand a corrective invoice, in writing

If the details in the account are correct and the NIP is still missing from the invoice, this is a system error on Booking.com's side. In August dozens of owners reported it at once, which points to a mass fault rather than an oversight on your part. In that case the only remedy is a corrective invoice issued by Booking.

Do not expect the extranet bot to handle it. Proceed like this:

  • Write a message through the extranet (Messages / Inbox), using the phrase "please issue a corrective invoice adding the NIP number", and give the invoice number and the correct NIP.
  • State in the message that the company details in the account are correct and that the NIP disappeared without any action on your part. That routes the case to the technical team rather than to standard support.
  • Call the partner helpline and ask for a ticket number. Without a case number, every further conversation starts from scratch.
  • If there is silence after a few days, escalate: reply in the same thread, quote the ticket number and ask to be contacted by your account manager (if you have one).

Keep everything in writing. Gather screenshots of the faulty invoice, of the correct details in the account, and the whole correspondence in one folder. That is your evidence of due care if the accountant or the tax office asks for it.

Step 3: what to do about the bookkeeping in the meantime

Do not hold up your accounts indefinitely waiting for a correction. Tax deadlines run regardless of Booking.com's pace. Give your accountant the faulty invoice along with a note that you have requested a correction and have a ticket number. In most cases the document can be recorded as normal, and the corrected version is simply swapped in later or attached as a correction. This is a standard situation and your accountant has dealt with it many times.

How to reduce the risk in future

Once a month, when you download the commission invoices, glance at whether the NIP is actually on the document. Catching the error immediately is far easier than unpicking it six months later at year end. Keep the company details in the extranet complete and consistent with what is in the business register.

And a broader conclusion to finish with: the more of your bookings you handle through your own reservation page, the fewer invoices from intermediaries and the fewer skirmishes with a foreign system that occasionally loses your tax number. Booking can be convenient, but every direct booking is one less invoice to watch, and the whole commission stays with you.
