The phone rings: a guest is standing at the door. Inside there is already someone else who booked the same dates on another portal. Anyone who rents across several channels has either lived through this or come within an inch of it. A double booking is not bad luck, it is the result of specific gaps in the system. Let me show where those gaps are and how to close them.
Why portals do not talk to each other on their own
Booking.com and Airbnb do not communicate until you make them. Each keeps its own calendar and knows nothing about what happens on the other. If you do not connect them over iCal, they sell the same dates independently.
Connecting them over iCal helps, but it does not solve the problem completely. Sync operates with a delay.
What one slip really costs
A double booking is not just an unpleasant conversation. The bill can hurt:
- A penalty from the portal. On a host-caused cancellation, Booking.com can charge you the cost or find the guest another room at your expense.
- A drop in ranking. Cancelled bookings damage your statistics and the listing falls down the results. You lose visibility for weeks.
- A bad review. A guest turned away at the door leaves a review that hundreds of others will read. One star costs you more bookings than the single one you cancelled.
- Your time and nerves. Finding replacement accommodation, explaining, negotiating: hours you will not get back.
One slip can cost more than a year of a decent sync tool.
Where double bookings really come from
| Cause | How the conflict arises |
|---|---|
| No sync | The portals do not exchange calendars at all. Each sells every free date. |
| iCal delay | Portals refresh the files every 2 to 4 hours. Inside that window two people book the same dates on different portals. |
| A phone booking | A guest calls, you agree verbally, and you forget to block the dates in the panels. |
| Manual blocks | You block dates for renovation on one portal and forget the other. |
| A typo in the iCal address | You paste an address with an error and sync quietly fails, even though it looks switched on. |
Four things that genuinely reduce the risk
1. Connect every channel, not just two
If you sell on three portals plus your own page, each of them has to know the others' calendars. Leaving one channel out is an open gate to a conflict.
2. Shorten the delay window
The more often calendars refresh, the smaller the risk. A standard refresh every few hours leaves a wide window. A central calendar that fetches data hourly narrows it drastically.
3. Establish one source of truth
The most dangerous bookings are the ones from outside the portals: a phone call, a message, your own page. If they land in a separate notebook or in your head, sooner or later you will make a mistake. Every booking, from every channel, has to land in one calendar that blocks the dates everywhere immediately.
4. Turn on real-time notifications
When you learn about a new booking hours later from an email, you react too late. A notification a second after the booking gives you time to close the dates by hand wherever sync has not yet caught up.
Why a notebook or a spreadsheet is not enough
Many owners keep track of dates in a spreadsheet or a paper calendar. That works until the first busy weekend, when bookings arrive from three channels at once and you happen to be away from home. A spreadsheet will not block the dates on Booking.com by itself. You have to do it manually, and that is exactly when the mistake happens.
The more apartments you have, the faster a spreadsheet stops being enough. Two flats, three portals and your own page already means more than a dozen places to keep synchronised in your head. At that intensity, a mistake is a matter of time rather than bad luck. A person cannot keep up where a system simply fetches the data every hour without tiring or forgetting.
A central calendar that does it for you
The surest way to end double bookings is one calendar that ties everything together. In erphome.pl it works like this: you get your own reservation page with a central calendar. You paste the iCal addresses from Booking.com and Airbnb into it, and paste the erphome.pl address back into both portals. The system fetches the calendars every hour.
A booking made directly on your page blocks the dates at source immediately, without waiting for any sync cycle. You get a Telegram notification for every new booking in real time, so you know at once and can react. Date blocks (renovation, family staying) are set once in one panel and propagate from there.
What to do when a conflict has already happened
If two bookings do land on the same dates, act fast and concretely:
- Contact the guest straight away, do not wait for the arrival day. The earlier you do, the better the chance of finding a solution.
- Offer an alternative: a second apartment, if you have one, or a room with a fellow host of a similar standard.
- Be honest. A guest will forgive a human error if you take them seriously and cover the difference. They will not forgive being ignored.
- Draw the lesson. Find out which route the conflict came in by and close that gap so it does not recur.
A quick checklist
Go through it once and come back to it every few months:
- Are all your sales channels connected to each other, not just two?
- Have you run the manual block test and confirmed that dates actually transfer?
- Do phone bookings and bookings from messages go straight into the calendar?
- Do you get a notification immediately after a new booking?
- Do you set date blocks in one place, or do you have to remember every portal separately?
If you answer "I do not know" or "probably" to any of these, that is precisely where the gate to a double booking stands open. Close it before a furious guest at the door closes it for you. Reviewing the list once a quarter takes five minutes and saves hours of firefighting.
Three sources, one solution
Double bookings come from a lack of sync, from iCal delays, and from bookings that arrive outside the portals. Connect every channel, shorten the refresh window and keep every booking in one place that blocks the dates automatically.
