iCal: what it is and why an apartment owner needs it

Set up calendar sync on Booking.com or Airbnb and the word "iCal" keeps appearing. It sounds technical, but behind it sits something simple you can grasp in five minutes. Let me explain what iCal is, how it works, and why it is one of the more important terms for an apartment owner.

What iCal is, in one sentence

iCal is a standard calendar file format, the same one your phone and your email use. In rental it does one job: it shows which days in the apartment are taken and which are free.

The abbreviation comes from "iCalendar". The file has an .ics extension, but you never have to open it by hand. It is enough to know what it is for.

Picture a calendar board hanging on the internet at a fixed address. Anyone who knows the address can see which days you have booked. You never mark anything on it by hand; it updates itself when someone books. That is exactly how iCal works in rental.

How it works in practice

Every portal publishes an iCal address, a long link to a file with your occupied dates. It looks roughly like this:

Behind that address sits a constantly updated list of occupied dates. When someone books dates with you on Airbnb, those dates appear immediately in the Airbnb iCal file as occupied.

Now the important part: you can paste that same address into another portal. Booking.com will download the file from Airbnb, see the occupied days and block them on its side. That is how the portals come to an understanding without your involvement.

Two directions: export and import

For Booking.com and Airbnb to block each other, you have to do both in both directions: export the address from Airbnb and import it into Booking.com, then the other way round.

Where to find the iCal address on the portals

The iCal addresses are not in plain view, but they are in every panel. Roughly:

• Airbnb: open the listing, the Calendar tab, the Availability settings section, and within it Calendar sync. You will find Export calendar and Import calendar options.
• Booking.com: in the extranet, go to Calendar and pricing, then Calendar sync. There you can share the export address and add import addresses.

You copy the export address and paste it elsewhere. Into the import field you paste an address taken from another source. Mixing those two up is the most common reason sync "does not work".

Why this matters to you as an owner

iCal solves a specific pain: double bookings. Without sync, every portal sells all the free dates without knowing what the other is doing. The result: two people with a booking for the same weekend and one very unpleasant phone call.

With iCal the portals exchange occupied dates and block them on their side. Less checking of panels, less stress, fewer accidents.

Take a concrete example. You have an apartment on Booking.com, Airbnb and your own page. On Friday evening someone books the weekend through Airbnb. Thanks to iCal, within the next few hours those dates turn occupied on Booking.com and on your page. Without iCal, on Saturday morning a second person calmly books the same weekend on Booking.com, because the portal has no idea about the Airbnb booking. The difference between "you slept soundly" and "you have two guests for one key" is exactly what iCal makes.

What iCal cannot do

So that you do not fall into the trap, two things to remember:

• iCal syncs dates only, not prices. It carries the "occupied / free" information but not the rates or descriptions. Prices are set separately on each channel.
• Sync runs with a delay. Portals fetch the file every few hours, not in a second. Inside that window a double booking is still possible if two people land on the same dates on different portals.

That second limit is a real problem on popular dates. The more often the calendars refresh, the smaller the risk.

iCal versus a channel manager

Two terms often confused. iCal is the date exchange format itself, free and built into the portals. A channel manager is a paid tool that manages many channels at once, syncing not only dates but prices and availability, often through deeper connections than a plain iCal file.

For one or two apartments a full hotel channel manager is usually overkill. iCal tied into a single, more frequently refreshed calendar is enough. You get most of the benefit without the cost and complexity of a system designed for properties with a hundred rooms.

The line falls somewhere around a dozen or more units and substantial group sales. Below that scale the difference comes down in practice to how often the calendar refreshes and whether you have everything in one panel. How to tame iCal without the stress

Exchanging addresses between portals by hand works with two channels. With three or more it becomes a tangle of links where a typo or a missed connection is easy, and then sync quietly fails.
